About the Role
We are looking for a detail-oriented and organized Operations Coordinator to join our growing team. This entry-level to junior role is ideal for someone eager to build hands-on experience in wholesale operations, order processing, logistics coordination, and data management within the apparel industry. You will work closely with our Operations, Sales and Logistics team, supporting the day-to-day functions that keep our supply chain running smoothly.
Must Have
-Strong numeracy and accuracy in data entry
-High attention to detail — you catch errors before they become problems
-Medium to high proficiency in Excel (assessment will be conducted)
-Comfortable working across multiple internal systems and platforms (experience with AIMS or similar ERP is an asset)
-Ability to thrive in a fast-paced, deadline-driven environment
-Reliable, punctual, and accountable — you follow through and close the loop
-Strong written and verbal communication skills
-Comfortable working in-office full time
Operations & Data
-Enter and maintain purchase orders, freight rates, UPC data, and customer information in AIMS and other internal systems
-Track daily, weekly, and monthly tasks — maintain and update operational trackers every day
-Processing Returns as per Yates & Co and Brands guidelines
-Process order entry and verify all order details for accuracy
-Review and confirm correct details on vendor invoices; process freight and compliance credits in AIMS
-Manage and maintain the freight costing tracker across all brands (air, ocean, FedEx, DHL); flag cost discrepancies and missing shipments proactively
-Pull and distribute weekly reports to support the Logistics team
-Perform stock reconciliation and manage shortage and overage trackin
-Prepare waybills and invoices for outgoing shipments
-Update and maintain styles, orders, and PO details across systems
-Support AIMS system uploads and operational projects as needed
-Maintain organized digital and physical records related to shipments and inventory
-Send statements as required
-Assist with importing pre-packed brand shipments and ensuring on-time customer delivery
-Review shipping paperwork and update system orders for shortages
-Track shortages and monitor shipments in transit
-Accurately invoice all shipped goods daily
-Track and review GTS documents daily
Logistics & Shipping
-Assist with preparing shipments and coordinating deliveries
-Manage FedEx and all carrier pick-ups at the Toronto office
-Track outgoing shipments bi-weekly to ensure smooth delivery to retailers; follow up on delays
-Processing immediate orders from stock
-Submit, track, and follow through on freight claims (FedEx and other carriers); close the loop internally once resolved
-Manage stock orders and returns to Toronto and Vancouver warehouses
-Assist with bi-weekly freight tracking, basic reconciliations, and documentation filing
-Support urgent shipment tracking as required
Customer Service
-Respond to shipping and order inquiries from internal teams and retail partners via the Logistics inbox, email, and phone
-Enter and update customer addresses, carrier details, and order records in warehouse and FedEx systems
-Verify Toronto warehouse stock orders before shipment
-Support carrier pick-ups and daily shipping activities
-Assist the sales team with clearance and sample inquiries
Key Accounts
-Support coordination of shipments and compliance requirements for major retail partners
-Assist with retailer shipping systems, routing guides, and documentation requirements
-Partner with internal sales and brand teams to ensure accurate and timely deliveries
-Assist with clearance shipments, samples, and special programs for key accounts
