We have an opening at our downtown Toronto office for an organized, outgoing, proactive admin coordinator/team member who has a keen desire to become an integral part of a tight-knit team.

The right candidate will be working directly with our editors, sales manager, art director, clients, contributors, and readers in a very important support role.

We need someone who is detail-oriented and loves to communicate with people—both on the client and staff side. Most importantly, the ability to independently prioritize, juggle, and complete multiple tasks with many deadlines is a must. An interest in media, luxury weddings, and consumer events is ideal.

We are a Mac-based company so experience with this platform is required.

Responsibilities include:

-Daily communication with clients, contributors, and readers via email and telephone regarding advertising and content deadlines, logos, submissions, distribution, events, billing, etc.
-Create, manage, and organize forms, spreadsheets, newsletters, and lists to support the editorial, design, sales staff with accurate data
-Assist publisher with accounts receivable and payable duties, as required
-Database entry, organization, and maintenance ensuring accurate client records
-Maintain client listings online (WordPress experience is a bonus but no ‘programming’ experience is required.)
-Manage magazine shipping, shipping schedule, and inventory
-Ordering and maintaining office supplies and ensuring the office is kept tidy at all times
-Daily UPS and Canada Post mail-outs
-Organize, input, and execute e-mail blasts
-Note-taking during team meetings
-Production assistant duties on photo shoots throughout the year. Duties include: assisting the fashion editor by transporting things to and from set, managing catering orders for the crew, unpacking and repacking gowns & accessories, managing interns, steaming dresses, etc.


-Excellent command of the English language, both written and verbal
-Canadian citizen
-Completion of post-secondary education
-Administrative experience
-Experience with Mac computers
-Proven organizational ability
-Drivers license
-Passport (Travel is required.)


Please note, training for all software that we use will be provided, but please include on your resume if you have prior experience with any of these programs:

-Google Docs
-CRMs (Batchbook, Salesforce, etc.)
-Adobe Creative Suite (Photoshop, INDD, Illustrator, etc).
